Vending machine operating costs: service access and energy belong in the brief

Build a cost model that reflects the location

List the machine purchase and installation costs separately from recurring expenses. The operating model should include electricity, connectivity, payment fees, replenishment labour, product waste, parts and service visits. Use local quotations where possible and clearly label any planning assumptions.

Two identical cabinets can have different operating costs when one is close to the refill depot and the other needs a long service trip. Compare proposals using the same working assumptions and show a sensitivity range for uncertain items. Do not reduce a site decision to a single headline payback number.

Make energy comparisons like for like

The US DOE guidance on purchasing efficient refrigerated vending machines uses lifecycle cost rather than purchase price alone. Its examples depend on stated assumptions; they should not be copied directly into a different tariff, equipment configuration or operating environment.

For your comparison, request the energy measurement basis and relevant model documentation. An illustrative calculation is daily consumption in kWh multiplied by operating days and the local price per kWh. Keep that estimate separate from actual site measurements, and review it after installation.

When considering a refrigerated drink vending machine, also discuss ventilation clearance and the expected ambient conditions. A cabinet’s location and service access deserve review alongside its capacity.

Test a service visit before the rollout

Identify the components that may need inspection or replacement, then review access with the cabinet in its intended position. Check door clearance, module removal, cable identification and the documented isolation procedure. Maintenance work should be performed by appropriately qualified personnel.

Ask the supplier to demonstrate a realistic diagnostic sequence. The operator needs an understandable fault description and a next step, not just a long event log. Agree what information is available remotely and what still requires someone on site. These choices affect both response time and the local support plan.

Create a usable handover

Request a parts list, wiring documentation, operating instructions and named support responsibilities. Organize spares around the actual fleet configuration and local lead times. Keep configuration records current when software or components change so a technician can identify the machine they are servicing.

Multiply measured daily kWh by operating days and the local electricity tariff. State the test conditions and treat pre-installation figures as estimates.
